Forsyth Technical Community College is a catalyst for mobility,
empowering lives and transforming communities. As aligned with the college’s vision and
mission, the Program Specialist will provide comprehensive administrative support to staff who support first-generation, low-income students who are considered high risk for academic failure. The Program Specialist will provide a wide range of complex, confidential, and administrative functions for the TRIO Upward Bound programs. Working closely with the TRIO Upward Bound Director and Executive Director of TRIO Programs, this role will be responsible for maintaining program data for reporting, ensuring program compliance, assisting with expense tracking and assisting with program planning to meet program goals. The Program Specialist will also make the appropriate connections and referrals to college and community resources.
Minimum Qualifications
Required:
  • Associate’s degree in education, human service, social work or related field and three (3) years of related experience
  • Experience working with TRIO or similar programs
  • Demonstrated commitment to and sensitivity to addressing the needs of economically and educationally disadvantaged youth or experience, as a participant or employee, with Federal TRIO programs or other educational opportunity programs.
  • Demonstrated experience in collaborating amongst multi departments.
  • Task-oriented and able to prioritize and complete multiple tasks simultaneously.
  • Effective written, oral, and intercultural communication skills.
  • Strong knowledge of student support programs and ability to make proper referrals.
  • Possess excellent organizational and interpersonal skills.
  • Ability to meet deadlines and with attention to detail.
  • Ability to work independently and take initiative and responsibility for scheduling individual sessions with program participants.
  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff.
  • Ability to work as an effective part of a team.
  • Valid Driver’s License with a driving record in good standing.
Preferred Qualifications
Preferred:
  • Bachelor’s degree in education, social work or related field and three (3) years of related experience
  • Five plus years of related experience
  • Bilingual
  • Experience in grant administration
Essential Duties
  • Attend specialized training activities that enhance job performance and foster a welcoming and engaging environment for all.
  • Provide clerical and administrative support to the Director of Upward Bound;
  • Maintain confidentiality and security of sensitive information;
  • Coordinate travel for student trips in its entirety ( i.e. Ticket purchase, transportation, hotel stay, and or working with a travel agency, etc.);
  • Coordinate the registration, professional development, and travel arrangements for TRIO Upward Bound staff;
  • Assist the Director in organizing and maintaining all expenses of the programs;
  • Assist in program planning for student sessions;
  • Meet with the TRIO Director and program staff to discuss student needs;
  • Assist the Director in maintaining trip details for archives, and ensuring the website is updated with forms;
  • Maintain student files and ensure each file has all eligibility documents in accordance with the U.S. Department of Education regulations;
  • Maintain program database (Blumen), including but not limited to entering student contacts and forms, uploading student information, and application processing;
  • Collaborate with Marketing;
  • Inform program participants of program-specific activities;
  • Manage multiple tasks and be organized and detail-oriented;
  • Communicate with host schools, parents, and students to gather data as needed;
  • Assist with yearly program updates: catalog, marketing materials, pathway documents,
brochures, etc.;
  • Assisting the Executive Director of TRIO Programs TRIO Upward Bound Director with
meetings to include, but not limited to, attending and serving as the recording secretary for all
meetings; accurately recording, preparing, and disseminating minutes, maintaining and
uploading documents and materials to the website;
  • Assists with the maintenance of records for all grant participants, including permission forms, test scores, demographic information, individual case management notes, and attendance at grant activities;
  • Promotes innovative and best practice policies and procedures that result in improving program effectiveness;
  • Assists in the planning and execution of grant activities and student services;
  • Provides the Program Director with the information necessary for reports as required by the grant;
  • Provide direct supervision of all work study students;
  • Reserve college car usage for TRIO Upward Bound off-campus events as well as on campus facilities to meet the needs of the program;
  • Meet monthly with the Director of Upward Bound to discuss administrative reports and budget updates;
  • Engage with TRIO staff members to provide formative assessment and continuous improvement of program delivery;
  • Assist with completion of Annual Performance Report;
  • Attend weekend and evening events as needed;
  • Attend meetings, conferences and seminars (State, Local and National may including overnight stays) related to programs mission and goals (up to 10 days annually);
  • Performs other duties as assigned.
