Position Summary 
Upward Bound is a federally funded TRIO program whose purpose is to identify, select, and assist high school students with academic potential. The Administrative Assistant works with, and supports, the Upward Bound Program. The Administrative Assistant must be able to work with supervision and independently, be an ambassador for the office, handle confidential information, manage projects, enter large quantities of data accurately, and compile reports. 
 
Qualifications 
The Administrative Assistant is required to have at least 2 years of experience with office and database management and 1 year of experience working with federal TRIO programs, academic support programs, or similar programs which involve working with high school students. Some college credits required, Associate degree or higher in a related field preferred. The Administrative Assistant must be detail oriented and highly organized with strong communication skills. 
 
Position Information 
This position reports to the Upward Bound Program Director and is a full-time, 12-month hourly non-exempt position.  The position comes with vacation, personal, and sick leave, and an excellent insurance program.  The salary range is $16-19 per hour and is commensurate with education and experience.

1.        With or without assistance: ability to sit or stand for extended periods of time; ability to move freely around campus and other locations.

4.        Ability to bend, stoop, reach and grasp as required to perform responsibilities. 
5.        Ability to perform repetitive keyboard and computer mouse functions. 

Primary Responsibilities 
1.       Maintain project databases, accurately perform data entry of project data, and generate project outcome reports 
2.       Maintain physical and electronic files 
3.       Assist in gathering information for, completing, and submitting the Annual Performance Report (APR) 
4.       Communicate with, and gather project data, from stakeholders such as project staff, school staff, students, parents/guardians, etc. as needed 
5.       Track and communicate with project alumni/prior participants 
6.       Maintain inventory of program supplies and equipment 
7.       Create and update project forms, brochures, and other literature as needed 
8.       Collect and distribute mail regularly, and prepare mailings to program students, parents/guardians, target schools, and community as needed 
9.       Serve as receptionist, answer phones, take messages 
10.   Answer and type memoranda and general correspondence 
11.   Maintain master calendar for project 
12.   Assist Director with responsibilities related to purchasing supplies and equipment 
13.   Other duties as assigned

8.       Electronic media literacy, including Microsoft Office programs (Word, Excel, Outlook, Publisher) 

Qualifications 

1.       Two years of experience including experience with office and database management (including using Word, Excel, and Outlook), and one year of experience working with federal TRIO programs, academic support programs, or similar programs which involve working with high school students 
2.       Some college credits required, Associate degree or higher in a related field preferred 
3.       Demonstrated ability to type with speed and accuracy 
4.       Ability to proofread with grammatical accuracy 
5.       Ability to operate standard office machines 
6.       Demonstrated proficiency in the English language – both written and verbal 
7.       Excellent organizational and interpersonal skills 
8.       Must be able to work independently and take initiative 
9.       Demonstrated sensitivity to the needs of economically and educationally disadvantaged youth 
10.   Prefer a person who has educational and/or economic background similar to the target population 
 
Compensation: $16.00 - $19.00 per hour
